Privacy Policy
What EntitySentry collects, where our entity data comes from, and what we will never do with it.
Last updated October 2026.
Where our entity data comes from
EntitySentry monitors business entity records that government agencies publish as public records. Our first state is Texas, where we use the Texas Comptroller of Public Accounts (franchise tax right to transact) and the Texas Secretary of State (entity status of record). As we add states, we use that state's official sources.
We do not buy entity data from data brokers, and we do not add information from private or non-governmental sources to an entity record.
What we do not do
- We do not sell personal data.
- We do not offer search by a person's name. Our public checker accepts a business name or a state-issued entity or taxpayer number only.
- We do not build or publish profiles of individuals.
- Our public free check never displays officer, director, or registered agent names or addresses.
Officer and agent details
Some state filing records include the names and addresses of officers, directors, managers, and registered agents. Where that information appears in EntitySentry at all, it appears only inside the logged-in application, and only for entities a customer has added to their own monitoring list. It is not indexed, not public, and not searchable by person.
What we collect about site visitors
- Free entity checks. The search term you submit, so we can run the check and detect abuse. We do not require an account.
- Server and security logs. IP address, user agent, and request time, kept for a limited period for security and rate limiting.
- Waitlist and contact forms. Your name, email address, firm or company, role, the states you need, and the approximate number of entities you would monitor.
What we collect about customers
- Account information. Name, email address, company, and the users you invite.
- Your entity list. The entities you choose to monitor, and the status history we record for them.
- Billing. Payments are processed by Stripe. Stripe handles card data; we receive and store only billing contact details and subscription status, never full card numbers.
How we use it
To run the checks you asked for, send the alerts you subscribed to, answer your messages, bill your subscription, secure the service, and decide which state to add next. We do not use your entity list for advertising, and we do not share it with other customers.
Service providers
We use a small number of vendors to operate the service, including hosting, email delivery, and Stripe for payments. They may process data only to provide those services to us.
Retention
We keep account and entity data while your account is active and for a reasonable period afterward for tax, accounting, and dispute-resolution purposes. Security logs are kept for a short period. You can ask us to delete your account data at any time.
Your choices
You can ask for a copy of the personal information we hold about you, ask us to correct it, ask us to delete it, or unsubscribe from alerts and emails. To request removal or correction of information shown in EntitySentry, see our removal and correction page.
Children
EntitySentry is a business tool and is not directed to children under 13.
Changes
If we change this policy we will update the date at the top of this page and, for material changes, notify account holders by email.
